Purpose of the position
- As a Records Administrator, you will play a crucial role in maintaining the airworthiness status of Air Belgium’s aircraft in the Maintenance Information System (MIS). Your work ensures that all scheduled maintenance, defect tracking, and aircraft records are accurate, allowing the Maintenance Planner to schedule tasks efficiently without disrupting operations.
- Additionally, you will be responsible for managing digital and physical aircraft records to facilitate smooth Airworthiness Reviews, audits, and aircraft re-delivery processes, supporting Air Belgium’s operational and regulatory requirements.
Main activities and responsibilities
- Ensure that all aircraft and component data, maintenance activities, and defects are correctly recorded in the MIS.
- Identify and correct missing, unreadable, or incorrect aircraft data by liaising with the appropriate teams.
- Follow up on specific monitoring programs such as Autoland, APU In-Flight Starts, and other key aircraft performance metrics.
- Conduct quality spot checks on aircraft records (e.g., Basic Operating Weight (BOW), Dirty Fingerprints, Certification documents) to ensure compliance and accuracy. Report trends in recurring errors.
- Maintain and archive all maintenance records in compliance with regulatory requirements. This includes; technical logbooks, component serviceable tags, aircraft work packages, check reports & deferred defect sheets.
- Follow established company procedures and recommend improvements to enhance efficiency and accuracy.
- Assist the technical team in various projects, including aircraft phase-in processes and other assigned tasks.
Financial responsibilities
- Maintain accurate documentation supporting financial records, including invoices and receipts.
Quality Management responsibilities
- Identify and report any deficiencies to enable corrective action.
- Adhere to and suggest improvements in quality control procedures.
- Continuously seek ways to enhance service quality in maintenance records management.
Performance Management responsibilities
- Ensure that key performance indicators (KPIs) are met within your area of responsibility.
- Monitor maintenance suppliers’ performance regarding quality and service levels. Report deficiencies and assist in corrective actions to meet operational goals.
- Support efforts to improve departmental KPIs and aircraft dispatch reliability.
Project Involvement
- Participate in and support technical projects related to aircraft maintenance and airworthiness records.

Education requirements and qualifications
- Education: Secondary School diploma or equivalent.
- Experience: Administrative background; aviation experience is a plus.
- Technical Knowledge: Interest in aviation records; knowledge of technical terminology is an asset.
- Attention to Detail: Accuracy in data entry; ability to maintain confidentiality.
- Languages: English required; French & Dutch are assets.
- IT Skills: Proficiency in MS Office and email systems.
- Work Style: Independent, organised and team oriented.
